1.              INTRODUCTION, PURPOSE AND SCOPE

1.1           As a landlord, WB has a duty to ensure that our premises at 83 – 97 Vauxhall Walk are safe and without risk to health.  As part of that duty, during the ongoing COVID-19 pandemic, we will be requesting certain personal data (including special categories of personal data) from our visitors and staff of our tenants.

 

1.2           In accordance with data protection law, we will only request your personal data where we consider this to be adequate, relevant and necessary to the purposes we are seeking to achieve.

1.3           Further details concerning the additional personal data we will request from you and the way in which we will handle such additional personal data are set out below.

 

2.              PERSONAL DATA WE MAY COLLECT FROM YOU

 

2.1           As part of preparations for allowing visitors and staff of our tenants to use our premises, we may collect and process your temperature readings using a temperature kiosk.

 

3.              PURPOSES OF COLLECTING THIS ADDITIONAL PERSONAL DATA FROM OUR VISITORS AND TENANTS

3.1           We will only use your personal data where we have a lawful basis for doing so under data protection law. The purposes for which we may use the additional personal data referred to in this Notice and the lawful bases upon which we do so are set out below:

3.2           To protect the health and safety of our staff, visitors and tenants

We need to collect the temperature readings of our visitors and staff of our tenants to protect their health and safety as well as the health and safety of our staff.  We will use this information to refuse entry to anyone with a high temperature.

Legal basis: legitimate interests (to ensure the health and safety of our staff, visitors and tenants). Where we are processing special categories of personal data (i.e. health data), we will be doing so on the basis that this is necessary in order for us to carry out our obligations as a landlord.

 

4.              SHARING YOUR PERSONAL DATA

4.1           We will not share any information collected about our visitors and staff of our tenants.

 

5.              HOW LONG WILL WE KEEP YOUR PERSONAL DATA?

5.1           We will only retain the additional personal data referred to in this Notice for as long as necessary to achieve the purposes set out in this Notice. Normally this period is 21 days. Once that period is up, we will dispose of the information securely.

5.2           Notwithstanding the above, we may retain your personal data for longer if so required by law or public health guidance, or if necessary for the establishment, exercise or defence of legal claims.
