Role: HR Co-ordinator

Reports to: HR Manager

 

Introduction to this role

To provide generalist support to the HR team assisting with the general day to day functionality of the department.

The role will provide a high quality of administrative support, employee relations and employee engagement. You will also have the opportunity to input into and assist with larger strategic projects such as employee well-being, diversity and inclusion, and learning and development.

The role will provide an excellent opportunity to learn a huge variety of HR skills and knowledge in a lively and friendly small to medium sized business. 

 

Key Responsibilities

You will assist the HR Manager with the day to day tasks of the department to ensure the HR function for the company is efficiently and effectively undertaken, which shall include, but not be limited to, the following:

  • Maintaining all manual and electronic employee files with compliance to GDPR
  • Responding to staff queries in person and via email
  • Liaising with Walker staff to book travel and accommodation through our corporate supplier
  • Managing the recruitment inbox, ensuring all candidates receive a response
  • Arranging interviews, booking meeting rooms and follow up with candidates
  • Sourcing, shortlisting and interviewing for entry level or graduate roles
  • Administration of all new starters, collecting information and setting them up on HRIS
  • Referencing of all new starters and completing references for current employees and leavers
  • Completing ID Checks for all new starters
  • Creating induction packs and presenting induction meetings for new starters
  • Ensuring that leaver procedures are maintained, including assisting at exit interviews
  • Managing data on our HR System and being the main point of contact for any issues
  • Setting up, implementing and training staff regarding any change of HR System
  • Setting up quarterly ‘Welcome to Walker’ sessions, Training Sessions and Financial well-being talks
  • Producing reports from the HR System as and when required
  • Updating phone lists, floor plans and organisational charts monthly to be sent around the whole Group
  • Managing the work experience programme, selecting candidates and running their induction
  • Liaising with our graduate work placement recruiters to set up the summer programme
  • Co-ordinating well-being and social schemes such as massages, flu jabs and reading scheme
  • Assisting in ensuring the monthly payroll spreadsheet is up to date
  • Handling data entry checks for all benefit providers
  • Co-ordinating letters for Bonuses, Long Service Awards, Promotions and Pay Increases
  •  Administrating of the buy, sell, carry over holiday scheme and bank holiday adjustments
  • Assisting with the HR monthly newsletter and internal communications
  • Answering phone calls to the HR team
  • Assisting with other research and project based work as requested by the HR Manager or Director

Skills and Experience Preferred  

  • Preferably have studied HR or have some previous experience working in an HR role
  • Ability to deal with people of all levels in a professional and friendly manner
  • Excellent attention to detail and highly organised
  • Highly proactive and self motivated
  • Ability to prioritise tasks and effectively manage own time
  • General awareness of HR documents, processes and employment law
  • Ability to maintain confidentiality

Role: Group Export Sales Assistant

Reports to: Group Export Sales Director

 

Introduction to this role

A key administrative role, supporting the Group Export sales team on a day to day basis.  Mathematical, analytical and organisation skills are essential, as well as a high standard of written English.  Reporting to the Group Export Sales Director.

 

Key Responsibilities

Sales Support

 

  • Supporting the Group Export Sales Director and Senior Sales Manager on a daily basis, dealing with enquiries, processing and chasing orders and raising Print Instructions where required
  • Providing all necessary support, information and back-up for the freelance reps and distributors
  • Managing the distribution of material for the Export sales team, customers, freelance reps and distributors including  blads, dummies, advances, samples, and keeping records and tracking accordingly
  • Fielding all enquiries to the Export In Box on a daily basis
  • Analysing sales data, seeking out opportunities to bring in extra sales and producing reports as required

 

Marketing Support

  • Creating and mailing the export catalogue twice a year in a timely manner, working closely with designers and editors to ensure entries are as complete and accurate as possible
  • Creating, updating and mailing flyers and order forms and organising ad hoc mailings as  required
  • Liaising with the Walker Marketing team on proof mailings, marketing material production and distribution to export customers, distributors and reps
  • Keeping Export mailing lists uptodate

 

General

  • Organising London Book Fair stand and attendance including liaising with company that sets up the stand, producing posters for stand, gathering and sending material, organising table bookings. Liaising with Foreign Rights as necessary
  • Gathering and sending material for Frankfurt Book Fair, liaising with Foreign Rights as  necessary
  • Attending teach-ins, sales conferences and other internal meetings
  • Calculating and raising commission payments for the freelance reps 

 

Skills and Experience Preferred  

  • Excellent mathematical, analytical and data management skills, ideally with a background in this field
  • Knowledge and experience of Publishing
  • Data driven, analytical mindset
  • Exceptional organisational skills and meticulous attention to detail
  • Clear, concise written English
  • Able to communicate complicated issues in a simple way (many customers don’t have English as a first language)
  • High level knowledge of Microsoft Office including advanced Excel and PowerPoint
  • Works well as part of a team

 Role: Sales, Marketing & PR Intern

Reports to: Marketing Manager

 

Introduction to this role

Reporting to the Trade Marketing Manager, key responsibilities will be to provide administrative support to our small but busy sales, marketing and public relations team across a varied list of titles, helping to reach a wide customer base which includes the media, booksellers, librarians, teachers, parents and children. You will have the opportunity to learn a wide range of skills, attend meetings, shadow etc. across three departments; Sales, Marketing and PR.    

 

The role requires an individual who is highly organised, able to prioritise multiple tasks, possesses excellent communication skills, as well as good copywriting and IT skills (MS Word, Excel, PowerPoint, with Photoshop and In Design a bonus). 

 

Key Responsibilities

Sales Support

  • Working with the UK Sales, Export Sales and Logistics teams:
  • Collate books and sales materials for customer mail-outs
  • Collate books and sales materials for sales presentations
  • Collate books and materials for key librarians conferences
  • Assist with the organisation of annual sales conferences
  • The creation and up-dating of order forms, including the monthly forms and themed lists

 

Marketing & Publicity Support

  • Working with the Trade, Consumer and Digital Marketing  and Publicity teams:
  • Organise proof and promotional material mailings to media, consumer, book trade and librarian contacts
  • Source promotional materials for specialist press mailings
  • Update and maintain our mailing database of bookshop and librarian contacts
  • Assist with the logistics around events – procuring and packing materials, arranging transportation and couriers and confirming book orders
  • Create and co-ordinate the production of all show cards for events
  • As appropriate, attend events such as launches in the evening and potentially, in time, school and festival author events
  • Through the PR team and events attended, build relationships with key trade and press contacts in the industry
  • Assist with updating our central Biblio system by loading key reviews and award winners/short-listings
  • Undertake research for the press team, ensuring press contacts are up to date, finding new contacts primarily in new online media, as well as maintaining a file of relevant press opportunities in print publications
  • Electronically file press cuttings and alert PR team to major new pieces of press
  • Assist with digital marketing campaigns when relevant e.g. Twitter/Facebook/blog tours as well as writing copy for our Picture Book Party blogs as required
  • Write copy for press releases as required.
  • Respond to any queries generated by our monthly trade, educational and library eNewsletters
  • Respond to any queries resulting from our weekly Waterstones, Blackwell’s  and Foyles communications
  • Respond to any general enquiries from booksellers, librarians and consumers via our generic marketing and publicity inboxes
  • Respond to fan mail as necessary 
  • Assist the Marketing and PR assistant with the organisation and stock control of our marketing and promotional material storage
  • To undertake any additional duties as required in order to support the Sales, Marketing and Publicity Department in order to achieve the objectives of the department and Walker Books Ltd

  • Ability to prioritise, without close supervision
  • Ability to plan and manage a varied workload in order to meet deadlines
  • Excellent interpersonal skills
  • Highly self-motivated and enjoy working as part of a team, but also very able to work independently
  • Passion for the Children’s book publishing industry.

Six Week Walker Work Experience (July to August 2019)

We have a new exciting work experience opportunity which we are opening up to those who are either; interested in pursuing a career in publishing or for those who are curious to discover the inner workings of a publishing house and the careers that are available.

Our work experience scheme has been created to positively promote diversity in the workplace with the aim to attract BAME, low income and under-represented groups.  The scheme will run over six weeks with six candidates being chosen to spend one week at Walker. Over the five days, candidates will spend time in all of the departments which have direct contact in making or selling our books, while experiencing working life in a publishing house.
