Role: Rights Assistant - Two roles available (One temporary 12 months and one permanent)

Reports to: Senior Foreign Rights Manager


Introduction to this role

This role will assist the Foreign Rights Managers in the selling of co-editions, it will support the team with book fairs, business trip preparations and follow-ups, and it will provide administrative support to the team.


Key Responsibilities

Co-Edition Printings:

  • Assist Foreign Rights Managers in mail out of proofs, finished copies and PDFs
  • Support Foreign Rights Managers in keeping records of interests, submissions, rejections and contact details up to date on Biblio system
  • Request printing costs and schedules from the Production department after discussion with the sales team
  • Order files from the Production and IT departments and sending these to co-edition publishers when needed
  • Send publishers’ text files to Design Support for checking
  • Provide support to the Foreign Rights Managers in gaining plotter/advance approval
  • Provide support to the Foreign Rights Managers on shipping and invoicing queries from co-edition publishers
  • Liaise with co-edition publishers regarding renewal/reversion of expired rights


Sales Trips/Sales Presentations/Book fairs:

  • Assist with hotel/restaurant/travel arrangements for fairs and sales trips
  • Provide support so that proofs, dummies, special presentation material, and finished copies are produced and collected on time
  • Help with packing boxes and compiling packing list for book fairs
  • Help with book fair catalogue mail out
  • Help with book fair/sales trip appointment scheduling as required



  • Send out contracts to foreign publishers and liaise with Contracts and Accounts departments on tracking signatures and payments
  • Send out biographies, photos, reviews and marketing plans to foreign publishers
  • File foreign editions and pass these on for mail out to authors/illustrators/agents
  • Help in keeping submission copies and proofs stocked and organised in the department


Skills, Knowledge & Experience:

  • Excellent administrative skills with an understanding of the importance of a sales support role in relation to customer service and business development.
  • Able to prioritise work given specific deadlines, juggling multiple projects and requests without close supervision, with meticulous attention to detail.
  • Excellent working knowledge of Microsoft office applications – Word, Excel, Outlook and PowerPoint. Adobe Professional desirable
  • Excellent interpersonal skills, confidence in communicating with other departments as well as foreign publishers.
  • Foreign language skills advantageous.


Personal Specification:

  • An interest in international publishing, book production and the co-edition process.
  • Excellent organisational skills and the ability to prioritise multiple tasks and to work calmly under pressure.
  • Enjoy working as part of a team, and making a positive contribution to the team.

Role: Senior Production Controller (Maternity Cover)

Introduction to this role

This role will use advanced technical and supplier knowledge to manage the ‘Guess How Much I Love You’ Character list and Board Book lists, working on Special Sales, Co-Editions and other group production titles, as assigned. Also, to deputise and provide cover to Production Managers as required. 


Key Responsibilities



·    Produce ‘Guess How Much I Love You’ Character list / board list, provide feedback and updates to line manager and share experiences at production team meetings.

·    Continuously work to improve systems of working and solve problems that arise

·    Manage workloads by discussing new projects, requirements

New project/reprint production

·    Originate and arrange for the printing and delivery of new and front list  titles and reprints on group projects/ titles as assigned.

Schedule/List control

·    Keep aware of progress on titles across the area of responsibility

·    Support and consult with other production colleagues

Advanced technical

·    Produce supplier specifications for different product types

·    Use advanced technical knowledge of colour repro, print, paper, binding,co-edition printing,  delivery, packaging and safety requirements and any design issues to prevent and solve problems

Supplier Management

·    Develop good working relationships with suppliers to achieve excellent results

·    Negotiate on price and make suggestions to achieve cost savings

Scheduling/project management

·    Work with designers and editors to define specification at initial stages and manage project through to final delivery

·    Throughout project: plan, maintain and monitor schedules, set up and attend meetings to report on progress and solve problems as they occur

·    Have regular meetings with Group Production Director and Head of Production Services


·    Cost projects economically, by considering various specification options and supplier cost comparisons. Presenting options in a timely fashion and to agreed response times, particularly to facilitate special sales/ co edition orders


·    Input into Biblio and other company systems on a regular basis to ensure they are up-to-date

·    Use understanding of principles of repro, printing and delivery to produce specifications


        ·    Carry out general housekeeping, setting an example with particular regard to invoice               instruction / invoice approvals and administrative tasks across the department.
